Employer Reimbursement Sample Letter

Living Future 20 represents a gathering of the sustainable design industry’s leaders, policy-makers, and innovators. As such, we recognize the value for the Living Future conference for existing employees and their organizations. That’s why we have drafted this sample letter for those requesting funding or reimbursement.

Dear [Supervisor’s Name],

I would like to attend Living Future 2020, the 14th annual unConference hosted by the International Living Future Institute, May 5-8, 2020 in Seattle, WA. Living Future draws 1,500 of the world’s leading thinkers in sustainability, regenerative design, and the built environment, from industries ranging from architecture and manufacturing to government and non-profits. This year’s event will be headlined by three incredible keynotes: Xiuhtezcatl Martinez, environmental activist and Youth Director of Earth Guardians; Tarana Burke, founder of the #MeToo movement; and Katharine Wilkinson of Project Drawdown.

As cities like New York are enacting progressive performance standards for the built environment (Mark Chambers spoke at Living Future last year!), attending LF20 will help us stay ahead of the implementation curve. I’ll have the opportunity to choose from over 50 sessions on 10 tracks, ranging from decarbonizing the built environment to centering equity. I will learn about industry trends, what strategies our peers are implementing, and how they’re tackling issues similar to what we’re facing. I’ve reviewed the conference schedule, and I’m planning to attend the following sessions, which most align with our mission. [check out our schedule to outline the sessions you plan to attend + the benefits they’ll have for your organization] If I make plans to arrive on Tuesday, I can enroll in [insert pre-conference workshop or tours you would like to attend] for an in-depth look at [insert subject matter – hint: look at the Learning Objectives in the description for specifics!] with [insert speakers].

LF20 speakers, exhibitors, and attendees are at the forefront of the green building movement. This is a great opportunity to make new connections, manage common challenges, and forge potential partnerships.

My projected costs for attending Living Future are [insert cost]. This includes registration, transportation, lodging, events, and meals. If we send a team, we can also take advantage of the group discount rate while increasing our learning opportunities!

Attending LF20 is an investment in professional development that will enable me to learn, explore, and discuss new practices that can benefit us as an institution. As we now sit just a decade out from 2030, these opportunities will not only impact [organization’s] bottom line but the bottom line for climate change. I’m sure to come back from LF20 inspired and ready to share what I’ve learned with our team by [insert knowledge sharing plan, whether it be by lunch and learn or a recap email].

I hope you will consider my request and grant me approval to attend.
